Details for Guests Celebrating Something in Your Vacation Rental: Birthdays, Anniversaries, and Honeymoons

A guest writes to you: "We are coming to celebrate our anniversary." And you... what do you do? Do you leave a bottle of cava? A bouquet? Do you ignore the message? In this post, I tell you how to detect those special occasions, what details truly work to boost reviews, how much they cost, and which ones are a waste of time and money.
Spoiler: with 5 euros well invested, you can get a 5-star review with a photo included. And with 50 euros poorly invested, they won't even thank you.
Why it's worth bothering
Guests celebrating something (birthdays, anniversaries, honeymoons, proposals, promotions, retirement) have three key characteristics:
- They are emotionally predisposed to value their stay highly
- They almost certainly upload photos to social media
- They leave longer and more positive reviews than average
A detail costing 3-5 euros can turn an ordinary stay into a memorable experience. And memorable experiences translate into 5-star reviews, recommendations, and future direct bookings.
If you're still unsure how the review system works, I recommend visiting How to manage reviews of your vacation rental.
How to detect if they are coming to celebrate something
There are three moments where you can catch the signal:
1. In the reservation message
Many people say it directly. "We are coming for our anniversary," "it's my partner's birthday," "we are on our honeymoon." If they mention it, note it down. It's gold.
2. In the welcome form
This is the most effective. When you send the pre-arrival message (more info in What to communicate to your guests before they arrive), include a casual question:
"Are you coming for any special reason? If it's a birthday, anniversary, or any celebration, let us know and we'll prepare something small ;)"
This phrase alone can increase your detection rate from 10% to 40%. People respond. And they thank you even before arriving.
3. Indirect signals
- Booking for a single night during the week with a couple's name: likely a romantic date
- Weekend booking with 6-8 people of the same age group: likely a birthday
- Booking right after a nearby wedding (check the date): possible honeymoon
Which details really work
This is the important part. Not everything that looks nice actually works. Here’s what does, ordered by cost-impact ratio:
| Detail | Cost | Impact | When to use |
|---|---|---|---|
| Handwritten note | €0.10 | High | Always |
| Bottle of cava/wine local | €4-8 | Very high | Anniversaries, honeymoons |
| Local chocolates or small cakes | €3-6 | High | Birthdays, anniversaries |
| Rose petals on the bed | €2-3 | Medium | Honeymoons or proposals only |
| Bouquet of flowers | €15-25 | Medium | Only for proposals or weddings |
| Custom cake | €20-35 | High | Big birthdays |
| Balloons | €3-5 | Low | Almost never (looks cheap) |
| Basket of local products | €15-25 | High | Honeymoons, long stays |
The handwritten note is the best detail in the world
Seriously. A post-it or a card with two handwritten lines has more impact than any expensive gift. Example:
"Happy anniversary, Marta and Carlos! Hope you enjoy these days in Valencia a lot. Anything you need, we're here. Hugs, Ana"
Cost: 10 cents. Impact: immediate. People take photos of notes and upload them to Instagram.
What doesn't work
- Generic details with your brand logo: it's not a gift, it's advertising
- Too expensive gifts that create commitment: uncomfortable
- Perishable items that spoil if late: strawberries, cream, cakes with cream
- Alcoholic items without asking: there might be pregnant women, ex-alcoholics, practicing Muslims
- Anything with a strong smell: scented candles, air fresheners, very aromatic soaps
Real budgets depending on the case
Birthday
- Handwritten note: €0.10
- Local chocolates or small cakes: €4
- Birthday candle (single): €0.50
Total: €4.60
If it's a big birthday (30, 40, 50) and several people, you can upgrade to a small pastry shop cake (€15-20). Worth it only if explicitly requested.
Anniversary
- Handwritten note: €0.10
- Bottle of cava or local wine: €6
- Two glasses already set on the table: €0 (already have them)
- Chocolates: €3
Total: €9.10
Honeymoon
- Handwritten note: €0.10
- Bottle of cava: €7
- Artificial rose petals (reusable): €3 once
- Chocolates: €3
- Small basket with local products: optional €15
Total: €13-28
Proposal
This is where you can work magic if you are notified in advance:
- LED candles without fire (safety): €10 once
- Petals: €3
- Good bottle of cava: €15
- Note or chalkboard with a personalized message: €5
Total: €25-35
And you usually get paid for it. You can offer a "Proposal pack" for €60-80 and even get a tip.
How to set it up without going crazy
If it only happens once every two months, do it by hand and that's it. But if you have multiple properties or manage several bookings a month, you need a system.
Basic kit always in stock
Keep in a cabinet in the property or at home:
- Blank postcards (pack of 20 for €5)
- Nice pen (not a blue Bic office pen)
- Packaged chocolates with long expiration (2-3 boxes)
- Reusable artificial rose petals
- LED candles (no real fire)
- Biodegradable confetti (€2 a bag)
Initial investment: €30-40. It lasts for 10-15 celebrations.
Local partnerships
Look in your neighborhood:
- A pastry shop that makes small cakes with 24h notice
- An express florist
- A wine shop with decent local wines for €5-8
Having these contacts saved is the difference between being able to respond "yes" when a guest asks for something special at the last minute, or being left stranded.
How to charge for it (if you want)
You have three options:
Option 1: Always free
Only small details costing €5-10. You cover these yourself. The review compensates. That's what I do and it works.
Option 2: Free only the basics, paid extras
You give the note + bottle + chocolates for free. If they want a cake, large bouquet, or special decoration, charge separately with margin. You earn money and they get what they want.
Option 3: Celebration package for sale
Create packages like "Anniversary Pack" (€25), "Birthday Pack" (€30), "Proposal Pack" (€60) and offer them in your pre-arrival message. This is what boutique hotels do.
Be careful with taxes: if you charge extra, everything goes on the same invoice as the rental and is taxed the same. Don't do black invoices for €20; the risk isn't worth it. More info in Invoices and receipts in your tourist accommodation.
Common mistakes that ruin the detail
- Leaving the detail in the fridge without warning: they don't see it until the second day
- Miswriting the name: worse than not putting anything
- Putting a card with your huge logo: looks like advertising
- Mixing the detail with check-out instructions: kills the magic
- Giving something that is normally in the apartment: if you always put water and chocolates, it's not a special detail
- Making promises you don't keep: if you say "I'll prepare something," follow through
How to ask for the review without being annoying
When someone celebrates something special with you, the review writes itself. But you can help. In the farewell message:
"I hope you enjoyed your anniversary a lot. If you'd like to leave a review sharing your experience, it helps us a lot. And if you return to the area, you know where we are."
Don't ask for 5 stars. Don't beg. Just mention the special occasion and let them tell the story.
How Auto-Registration fits in
Detecting special celebrations starts at the reservation and prior communication. But before all that, you need to register your guests in SES Hospedajes. It's mandatory, no exceptions.
Auto-registration does exactly that: guests fill out a form with their details and we send it automatically to SES. No need to copy IDs manually or fight with the Ministry's platform.
It costs €1 per month per property. Less than a coffee. This way, you get rid of the bureaucratic part and focus on what truly makes your rental special: details, communication, handwritten notes, and cava bottles for anniversaries.
Frequently Asked Questions
What do I do if I find out about the celebration after they've already arrived?
No problem. Leave a surprise detail the next day when they go out for breakfast. A new note, a bottle, some chocolates. The surprise effect mid-stay works just as well.
What if they don't drink alcohol?
Replace cava with alcohol-free grape juice or non-alcoholic cava (it's available and decent). No-liquor chocolates. Local products like jams, oil, or cheese. There are always alternatives.
Can I light candles for a proposal?
Better not. Fire risk, your insurance might get complicated, and guests might leave them on when leaving. Use LED candles; some models have a flickering flame that looks almost real. Costs €10 for a pack and lasts for years.
Is it worth buying specific birthday decorations?
Only if you have many bookings from young groups. A basic pack (banners, neutral balloons, confetti) costs €15 and lasts for 5-10 uses. If your property is more family or senior-oriented, don't bother.
What if the detail is not appreciated or they get offended?
Difficult. If you stick to chocolates + note + bottle (optional depending on preferences), there's little room for things to go wrong. The big mistake would be assuming things: don't assume a couple is heterosexual, don't assume they are celebrating a wedding if they say "anniversary," don't put religious candles if you're unsure.
