Bedding in Vacation Rental Homes: Sheets, Towels, and How Many Sets You Really Need

Bedding is one of those expenses that seem silly until you do the math. Sheets, towels, pillowcases, protectors... if you buy poorly, you’ll ruin yourself replacing them every six months. If you buy good quality but few sets, you end up washing against the clock between check-out and check-in. In this guide, I’ll tell you what quality is worth it, how many sets you need according to your turnover, how much everything really costs, and the common mistakes that cost you dearly.
Why bedding matters more than you think
A guest can forgive many things. A burnt-out light bulb, a lost remote control, even a stain on the sofa. What they won’t forgive is getting into bed and noticing that the sheets scratch, are yellowed, or smell strange.
Reviews say it clearly. When someone mentions "hotel-quality sheets" or "soft towels," it’s usually accompanied by five stars. When they say "rough sheets" or "thin towels," the rating drops entirely.
It’s not out of caprice. The vacation guest wants to feel they are better off than at home. And the bed and shower are the two moments where they notice this most.
How many sets you need based on your turnover
This is where many people go wrong. Buy one set per bed, and then it’s not enough.
The basic rule: at least 3 complete sets per bed. One on the bed, one clean ready to use, one in laundry or as a reserve.
Quick table based on turnover
| Turnover | Sets per bed | Towels per guest |
|---|---|---|
| Low (1-2 bookings/month) | 2 | 2 |
| Medium (3-5 bookings/month) | 3 | 3 |
| High (6+ bookings/month) | 4 | 4 |
| Very high (daily turnover) | 5+ | 5+ |
If you have external laundry, add one more per bed. Because on the day they’re delayed (and they will be), you need to have stock at home.
Tip: always keep a "emergency" set stored and sealed. The day something gets stained at the last moment, it saves your reservation.
Sheets: what to buy and what to avoid
Material
Forget satin, silk, and strange fabrics. In vacation rental homes, you need something that withstands 200 washes at 60 degrees without falling apart.
- Percale cotton 200 threads: the standard. Good quality-price ratio, withstands industrial washes, easy to iron.
- Cotton 300+ threads: softer, more expensive, noticeable difference. For mid-high range apartments.
- Cotton-polyester blend (50/50): lasts longer, wrinkles less, but sweats more in summer. Useful for fitted sheets.
- Linen: beautiful in photos, nightmare to wash. Avoid unless you have professional ironing service.
Color
White. Always white. End of.
Why? Because you can wash it at 60 degrees with oxygen bleach without losing color. Because you see any stain. Because it conveys cleanliness. Because when a sheet gets stained (and it will), you replace it with any other white one and no one notices.
Printed sheets are a trap. They lose color, you can’t mix sets when pieces are lost, and they look dirty sooner.
Pieces per set
A complete set includes:
- Fitted sheet
- Duvet cover (or duvet cover)
- 2 pillowcases per double bed (1 if single)
Towels: the big cost trap
Towels are the black hole of the budget. They stain with makeup, are used to clean shoes, disappear into suitcases, stay in the pool.
Weight
Measure quality. The more grams per square meter, the softer and more durable.
- 400-450 g/m²: basic, short-lived, poor feel
- 500-550 g/m²: the sweet spot for vacation rentals
- 600+ g/m²: high-end, take longer to dry (problem with quick turnover)
How many per guest
Standard: 1 shower towel + 1 hand towel + 1 small towel per guest.
If you have a pool or beach nearby, add specific pool towels. Make them a different color (navy blue, for example) so guests know which ones can go outside. White towels stay inside.
Color (again white)
Same logic as sheets. White for bathroom, different color for pool/beach.
Real costs: what you will spend
Let’s get into real numbers, not Pinterest fantasies.
Two-bedroom apartment (1 double bed + 2 singles), capacity 4 people
| Concept | Quantity | Unit Price | Total |
|---|---|---|---|
| Sets of double bed sheets | 3 | €35 | €105 |
| Sets of single bed sheets | 6 (3 per bed) | €22 | €132 |
| Mattress protectors | 3 | €18 | €54 |
| Extra pillowcases | 6 | €6 | €36 |
| Shower towels | 12 | €12 | €144 |
| Hand towels | 12 | €6 | €72 |
| Small towels | 12 | €3 | €36 |
| Pool towels (blue) | 8 | €10 | €80 |
| Bathroom mats | 6 | €8 | €48 |
| Total initial investment | €707 |
Add to this the annual replacement. Expect that between 20% and 30% gets lost or unusable each year. That’s €150-200 annually in replacements.
Common mistakes that cost you dearly
1. Buying IKEA sheets thinking they last
Not to speak ill of IKEA, but their basic sheets are for home use. In industrial washes at 60 degrees, they last 6-8 months. Resuinsa, Pikolin, or hotel brands last 2-3 years.
2. Mixing sizes and colors
All sheets the same. Same sizes, same colors, same brand. When a piece is lost, you replace it without thinking.
3. Not having a mattress protector
A mattress costs €300-€800. An impermeable protector costs €15-€25. The math is obvious. Yet many don’t use them.
Use an impermeable mattress protector on all beds. It’s one of the best investments you’ll make.
4. Washing at insufficient temperature
Sheets and towels for vacation rentals: minimum 60 degrees. If you’ve had guests with lice, bed bugs, or any suspicion, 90 degrees. It’s not optional. It’s basic hygiene.
5. Keeping old towels "for emergencies"
A worn, thin, or stained towel is not an "emergency". It’s a bad review waiting to happen. Throw them away or use as cleaning rags.
6. Not marking clothes if you manage multiple properties
If you manage several units, mark the clothes with labels or embroidered initials. Otherwise, they’ll get mixed up, and you’ll never know what belongs where. On this, it’s useful to read how manage traveler registration with multiple properties and other operational aspects.
Washing at home or outsourcing
Great debate. Depends on your turnover and your time.
Washing at home is cost-effective if:
- You have 1-2 properties
- You live nearby
- You have industrial or semi-industrial washing machine and dryer
- The turnover is medium-low
Outsourcing is cost-effective if:
- You have 3+ properties
- You don’t live nearby
- High turnover (changes every 2-3 days)
- You want to reduce manual work
A professional laundry service charges between €8 and €15 per complete set of bedding + towels. If you do the math with your time, it’s usually worth it from 8-10 turnovers per month. More details in laundry in vacation rental: outsource or wash at home.
Tricks to make things last longer
- Wash sheets and towels separately. Towels shed lint that sticks to sheets.
- No fabric softener on towels. Yes, it seems counterintuitive, but softener coats fibers and makes them less absorbent over time.
- White vinegar in the first wash of new towels. Fixes color and improves absorption.
- Oxygen bleach (sodium percarbonate) in every wash. Keeps whites bright, disinfects, and damages less than traditional bleach.
- Medium temperature dryer. High heat damages fibers.
- Iron the sheets. Yes, it’s a hassle. But a pressed sheet on a made bed sells a lot.
How to present the bed: the detail that sells
A well-made bed is the first photo the guest sees when entering the bedroom. And the last they remember when leaving.
- Well stretched fitted sheet, wrinkle-free
- Duvet cover tucked into the corners
- Fluffy and centered pillows
- A blanket or throw folded at the foot (raises perceived quality without much expense)
- Decorative cushions: maximum 2 per bed. More is over the top.
What NOT to do: don’t put plush toys, teddy bears, or chocolates on the pillows. It looks old-fashioned, and many find it creepy.
How Auto-Registration fits in
While you decide whether to buy 200 or 300 thread count sheets, guests keep arriving. And by law, you must send their data to SES Hospedajes within 24 hours. If you do it manually, it takes 15-20 minutes per reservation typing names, IDs, and addresses.
Auto-registration solves this for €1 per month per property. Less than a coffee. The guest receives a link, fills out a short form on their mobile, and the data automatically goes to SES Hospedajes. You don’t touch anything. If you want to see how it’s done in detail, I explain it in how to send traveler reports to SES Hospedajes.
Frequently Asked Questions
How often should I change sheets if the stay is long?
For stays longer than 7 days, it’s professional to offer a mid-stay sheet change. Many guests decline, but it should be offered. For monthly stays, weekly change.
Do I need to put extra pillowcases in case the guest is allergic?
Not mandatory, but helpful. Ideally, have anti-mite covers as a permanent base for the mattress and pillows. They cost €10-€20 and last for years.
Can I use the same type of towel for bath and pool?
You can, but I don’t recommend it. White towels stain quickly with chlorine, sunscreen, and sand. Having a different set (different color) keeps them in good condition longer.
Is it better to buy everything at once or replace gradually?
Buy everything at once. And from the same brand and model. That way, when a piece is lost, you can replace it without it being noticeable. Buying separately results in a chaos of different sizes and white tones.
Is it worth embroidering the apartment name on towels?
It reduces theft a bit, but not entirely. And it’s quite expensive. I see it more useful for differentiating your own properties than for preventing theft. Embroidered towels tend to be "forgotten" just as easily in suitcases.
